Department of Athletics - Men's Basketball
Maintain daily professional and personal appointment calendar as well as historical records. Works with Associate and Assistant Coaches on Spring and Summer calendars, as well as jump forward and other recruiting needs. Manages and coordinates venues for meetings. Work with University Administrators and Professors as well as civic and city leaders to make the Head Coach accessible and available for public and private events, classes, seminars, etc. Responsible for adherence to and implementation of University, Athletic Department, & NCAA policies and procedures in Men's Basketball Office. Responsible for coordinating all travel. Financial responsibility for travel monies and post-game vacation money.
Coordinates speaking engagements, including Nike, and other national, regional, and local sponsors. Reviews and assists in negotiating contracts. Estimate pre-travel & execute necessary forms for all head coach recruiting, clinic, speaking engagements, and professional development travel. Responsible for reconciliation of all details upon return. Monitor and track all reimbursements. Position secures fees and submits vouchers for fees and reimbursement of travel expenses, maintaining all financial records for each event. Coordinates and prepares all travel for the Head Coach and transportation for the Coach once he arrives at the event. Also, arrange all security needs and logistical details.
Creates and prepares game day information, including itinerary, hotel information, and charter plane information, and distributes information to staff and support. Daily contact and assistance with the Tip-Off Club and Boosters, Inc. office. Liaison with Seminole Boosters for luncheons and club meetings, as well as responsible for writing letters and supplying autographs to million-dollar donors and any other needs of the head coach. Primary contact and organizer for Ladies Club and Ladies Basketball Clinic. Responsible for paperwork associated with tailgates and functions, community relations, and club events involving the team or staff.
Responsible for keeping current on NCAA rules and policies, along with ACC and Men's basketball-specific details. Works with Academic Advising concerning grade reports and meeting with Coach on specific and sensitive issues.
Work closely with head coach and assistant coaches to coordinate and prepare official visit information & form for potential student athletes, making sure each visit is in compliance with NCAA policies. Work closely with Compliance Office to prepare all Letters of Intent & Grant in Aid forms of committed student athletes. Work with staff to prepare travel plans & secure accommodations for all official visits. Seek reimbursement as needed for Head Coach after each visit.
Train, monitor and supervise other administrative staff to handle all aspects of fiscal duties of the MBB office including entering requisitions in OMNI, submitting Booster Reimbursement Forms, interdepartmental requisition forms, payments request forms, using purchasing card, travel card, etc. for all purchases from program. Follow-up on vendor payments. Interview, select, train & supervise student volunteer, interns and ops workers. Analyze the workload and make appropriate assignments and decisions.

Review large volume & variety of incoming regular, electronic & voicemail, prepare relies and or reroute as necessary. Assist head coach in maintaining accurate records of courtesy car exchanges, personal and business mileage, etc. Prepare and submit necessary forms. Handle confidential information. General administrative work as needed. Other duties as assigned.
Bachelor's degree and four years experience, or a high school diploma or equivalent and experience equal to eight years.(Note: post-high school education may substitute for experience at the equivalent rate.)
