Director of Operations - Softball

Salary/Position Classification

• $42,000 - $47,000 annual, Exempt

Purpose of Position

The purpose of the Director of Operations – Softball position is to direct the day-to-day operations of the UND softball program. These duties include, but are not limited to, arranging team travel, practice and game day duties including keeping statistics for data analysis, serving as the softball camp director, developing a competitive game schedule under the direction of the Head Coach, & overseeing travel and equipment budget. The position will also serve as a liaison with facilities staff concerning team and visiting team practice and game scheduling, with the ticket office & compliance office, as well as the business office. Must have a commitment to compliance with all NCAA Rules and Regulations.

Duties & Responsibilities

• Administrative duties & team travel

  • Oversee all administrative aspects of the program.
  • Arrange all softball team travel, to include commercial/charter flights, buses, hotel accommodations, plan and reserve team meals, compliance pre/post trip forms, contracts, requesting & handling of all cash advances, reimbursements, and completion of post-trip expense reports and business forms.

Duties & Responsibilities

  • Coordinate complimentary tickets for players and coaches for away games.
  • Monitor all University purchasing card transactions for softball & assist softball staff in timely completion of monthly statements.
  • Assist in video coordination for coaches and team.
  • Assist in developing a competitive game schedule under the direction of the head coach.
  • Staff liaison for social media (Twitter, Instagram, Facebook & Snapchat).
  • Liaise with staff concerning team and visiting team practice and game scheduling.
  • Renew coaching memberships; NFCA membership and management of NFCA items.
  • Organize coaches professional development travel.
  • Assist the coaching staff in all aspects of the program within NCAA bylaws.
  • Follow all NCAA, conference and UND rules and regulations.
  • Assist in Head Coach organization, administration, program promotion and other duties as assigned by the Head Coach. 

• Practice & game duties

  • Assist in the instruction of specific individual drills at practice, as allowed by NCAA rules & regulations.
  • Provide feedback to coaching staff of position groups, as assigned by Head Coach.
  • Assist with all softball gameday operations.
  • Work with facilities personnel in assisting visiting teams with practice times at Albrecht Field and Pollard Athletic Center.
  • Keep statistics in the dugout & in practice, tracking all individual innings played.
  • Participate in off-campus recruiting, as allowed by NCAA rules & regulations.
  • Participate and assist in all on campus recruiting.
  • All other game & practice duties, as assigned by Head Coach.

• Manage & oversee softball budget

  • Approve all equipment purchases and travel expenses.
  • Manage all gear and equipment ordering and printing & embroidering approvals.
  • Manage temporary/student employee budget, if applicable.
  • Manage/coordinate exclusive equipment contracts (currently with Adidas/BSN Sports & Rawlings).
  • Develop and oversee equipment and travel budget. 

• Compliance & academic liaison, master calendar, and facilities

  • Keep track of practice hours, including individual workouts, strength and conditioning, and team practice hours.
  • Complete & submit occasional meal forms, community service hours, and any other compliance-related items.
  • Coordinate a master class schedule of all athletes.
  • Oversee coordination of study table.
  • Responsible for scheduling practices time for home and away teams.
  • Serve as the facilities liaison between Albrecht Field, Pollard Athletic Center, Hyslop at Memorial Village.
  • Responsible for the master calendar throughout the year.
  • Communicate with Summit League on conference game schedules each year. 

• Softball camps & other duties

  • Plan, develop, and coordinate all UND Softball camps and clinics.
  • Complete & verify data entry for all camper registrations in camp software, currently SideArm.
  • Liaise with all areas of campus as needed (i.e. UND Dining/Catering, Housing, Facilities).
  • Develop all camp schedules, including confirming dates, filing compliance forms, marketing, mailings/emails, registrations, & communication.
  • Work with UND Athletics Business Office on preparing all payroll hiring paperwork & timesheets for timely submission.

• Must provide support and encouragement and ensure the safety and well-being of the student athletes, including having a valid Driver’s License.

Minimum Requirements

• Bachelor’s Degree.
• Experience working at collegiate softball camps.
• 1 year of collegiate softball working experience as an employee or graduate assistant.
• Experience with NCAA Rules & Regulations.
• Valid Driver’s License.
• Successful completion of criminal history background check.

Preferred Qualifications

• Collegiate softball playing experience.
• Experience with data processing of softball statistics.
• Experience assisting with equipment and apparel purchasing.
• Experience with hiring and supervision of students and/or camp personnel.
• Experience coordinating with visiting/road teams for scheduling and access to facility/court.
