Job Summary

 

The Administrative Assistant supports the head coach, assistant coaches, and Director of Operations for the Track and Field program by ensuring smooth day-to-day operations and event coordination.

What You’d Be Responsible For

• Calendar & Scheduling Management

  • Coordinate coach and staff calendars, practice and competition times, travel, and meetings; ensure alignment with academic calendars and competition dates.

• Office & Facility Administration

  • Track receipts and manage expense reporting and inventory; order office, event, and nutrition supplies; file facility service requests; and serve as front-desk contact for the Smith Field House.

• Travel & Logistics Coordination

  • Organize and confirm in-state travel and vehicles for competitions, recruiting visits, and training trips; process vehicle requests and spending authorizations for all travel.

• Document, Records & Compliance Management

  • Maintain program records, the Top 10 Board, compliance documents, recruiting files, and athlete contact information per NCAA rules; input CARA/RARA logs and practice schedules in Teamworks for approximately 90 athletes across 3 seasons.

• Event Coordination

  • Assist in the planning and execution of team events (team dinners, award banquet, record ceremonies, Homecoming 5K, etc.), home meets, and alumni/donor outreach and events.

• Recruitment Support

  • Create spending authorizations for recruit visits, maintain prospective athlete files and recruiting forms, and produce and mail recruiting newsletters.

• Communication & Meeting Coordination

  • Manage internal and external communications (email, phone, messaging) among coaches, staff, athletes, parents, and administrators; prepare agendas and materials for meetings and follow up on action items.

 

What Qualifies You to Apply?

 

Required:

• Bachelor’s degree + 2 years of administrative or office support experience (or an equivalent combination of education/experience)
• Willingness to uphold and live by the university's Honor Code
• All new employees who are members of The Church of Jesus Christ of Latter-day Saints will be required to hold and be worthy to hold a current temple recommend, which may be verified during the application process.

Preferred:

• Prior experience supporting an office or athletics program
• Proficiency in Microsoft
• Accounting knowledge
